The Lignum Vitae Room: All Works Complete, One Item to Install

Dear Tricia and Karline,

The Lignum Vitae Room is built. Every trade has finished: the electrical rework and ceiling reinstatement, the windows and door, the flooring, the paint and wallpaper, the feature lighting, and the audio-visual fit-out. All furniture has been supplied and delivered. The one task still to be carried out is assembling and installing the conference table and chairs, which HelloHOME has waived and will complete at a time that suits the Club.

This is your final account. It sets out the scope delivered, the final position reconciled line by line against the quote, the concessions applied, and the balance now due. The balance requested here is $1,350,950, which settles every section of works, goods, and materials in full. After that, $437,683 remains on the project, being the professional fee balance and nothing else. One item of work is still outstanding, the installation of the conference table and chairs, and HelloHOME has waived the charge for it. Nothing further will be added to the account.

Electricals: rework, points & feature lighting

The room was found to be tied into an already overloaded grid and could not carry the conference table, the AC, and the new lighting on the existing supply. Independent circuitry was run and the electricals reworked back to the breaker, work that sat outside the original scope. On top of that: ceiling and wall lighting installed across ten points, fourteen 110v plug points fitted, smoke detector recessed, switches recessed and updated to decora, waterproof exterior switch replaced, and 3" conduit run for internet and data. Feature lighting comprises the multi-bar pendant over the table, six 100cm linear bar lights, one 120cm linear bar light installed vertically over the sideboard, and the artwork back light over the framing.

Drywall & ceiling

Ceiling and walls smoothed with Sure Patch across 775 sq ft, damaged drywall removed and replaced, and drywall cladding installed and finished ready for decoration.

Windows & door

Two aluminium fixed arch windows and two aluminium sliding arch windows fabricated, delivered, and installed. The entry door was refurbished rather than replaced, and fitted with a smart lock, new hinges, an internal sliding lock, and batteries.

Floor, skirting & molding

425 sq ft of vinyl plank flooring supplied and installed, with 84 running feet of skirting board removed and reinstalled.

Painting & wall finishes

Full preparation, priming, and painting throughout. Linen grasscloth wallpaper supplied and hung as the feature wall finish.

Electronics

Television supplied, delivered, cleared, mounted, and commissioned, with cabling and cable management dressed in.

Furniture

Conference table supplied and delivered. Fourteen conference chairs supplied and delivered against twelve quoted, at a heavier-duty specification than the one originally priced. Serving buffet built to the custom specification agreed: 72" wide by 24" deep by 32" high, with a 24" open bay, a 30" double-door cabinet, and an 18" drawer bank, finished in the same colours as the conference table. Installation and assembly of the table and chairs remains outstanding and has been waived in full.

Heritage & finishing detail

Vintage tennis racquets sourced and framed for the room, and full site cleanup and rubble removal carried out on completion.

Installation and assembly of the conference table and chairs has not yet been carried out. It was quoted at $50,000 and HelloHOME has waived it in full, so it is not billed in this account, forms no part of the balance below, and will not be invoiced later. It will be scheduled and completed at your convenience at no charge. All furniture has been supplied, delivered, and paid for. Once the $1,350,950 requested below is settled, the only item left on the project is the professional fee balance of $437,683.

How the contingency was used

The quote carried a 20% contingency provision of $645,359 against quoted works of $3,226,795. That provision has been fully consumed. Works finished at $4,123,413 net of concessions, $896,618 above the quoted works figure, so the contingency absorbed $645,359 of the movement and $251,259 sits above it. With the professional fee tracking $50,252 higher on the larger works total, the account closes $301,511, or 6.5%, above the agreed quote.

The principal driver was electrical. The room was found to be tied into an already overloaded grid, which meant independent circuitry had to be run and the electricals reworked back to the breaker, work that sat outside the original scope. That, together with the feature lighting specified after the quote and the upgraded conference chairs, is where the contingency went.

Three concessions were granted on this project and are already reflected in every figure in this account. They are set out here in full.

1. Conference Chairs Gross $930,160→Billed $511,588−$418,572

The chair specified at quote stage was priced at $15,120 a unit for twelve. On review it was not robust enough for a boardroom in daily use, so a considerably heavier-duty chair was substituted at $66,440 a unit, and fourteen were supplied rather than twelve. At list that would have grossed $930,160. HelloHOME absorbed 45% of the line, bringing the billed figure to $511,588, a concession of $418,572.

2. Front Door Smart Lock Quoted $56,320→Billed $0−$39,250

The smart lock was supplied and fitted at no charge as a goodwill item. It appears on the payment log at nil so the Club has a complete record of what was installed.

3. Table & Chair Installation Quoted $50,000→Billed $0−$50,000

The installation and assembly line is waived in full. The work has not yet been carried out; when it is scheduled, it will be completed at no charge and will not be invoiced.

The three concessions carry a value of $609,386, or 11.0% of gross billing. Separately, $95,000 of quoted Electronics work and the $49,500 duplicate skirting installation line were not billed, and the Electricals section returned $190,000 of quoted points and track lights that were not required.

Electricals is the largest single movement on the project, and the reason is structural rather than a matter of quantities. The room was found to be tied into an already overloaded grid. It could not carry the conference table, the AC, and the new lighting on the existing supply, so independent circuitry had to be run and the electricals reworked all the way back to the breaker. That work sat outside the original scope entirely; the quote had assumed the existing supply was sound and priced only the points within the room. On top of that the room needed far more points than the walkthrough suggested, and the feature lighting package was specified after the quote was issued. Set against those, the track lights and seven quoted points were dropped, and the back light went from three to one.

The windows and door came in exactly as quoted. The section closes under budget because the smart lock, quoted at $56,320, was supplied and fitted free of charge, more than covering the four small items added on site.

The chairs are the movement here, and they are worth setting out plainly. The chair specified at quote stage was priced at $15,120 a unit. That would have grossed $930,160. HelloHOME absorbed 45% of it, bringing the billed figure to $511,588. The Club therefore receives fourteen chairs of a materially better specification for $330,148 above the twelve-chair quote, against a gross uplift of $748,720. Installation and assembly of the table and chairs, quoted at $50,000, has been waived in full and will be carried out at no charge.
